q How did you select the volunteer? (Is the volunteer a member of your organisation, are you going to involve the volunteer in your current activities, did you interview the volunteer by phone or face-to-face...)

We haven’t chosen the volunteer. We have spread the call for this project among the members of the NGO. Usually the hosting organization is making desicion of choosing the volunteer unless it is agreed beforehand about pre-selection.

 

 

q What kind of theoretical preparation will you provide the volunteer with? (Insurance, rights and responsibilities of the volunteer, SO and HO tasks, duties of the tutor of the project...).

q Having 3 former EVS volunteers in our main staff we know all the complexity of EVS procedure as well as its pitfalls and peculiarities. That is why we are ready to provide adequate preparation in line with the Volunteer Training Guidelines and Minimum Quality Standards of the European Commission for our EVS volunteers. After selecting a volunteer we will stay in contact and we will meet with him frequently in order to discuss some organizational moments and to prepare the volunteer for a future project. With volunteers who live in other cities we organise skype conferences. This might be of a great importance for people with fewer opportunities as sometimes they might need some additional help and support.

q We are offering a pre-departure training, where we invite all our volunteer that received their final positive confirmation. Depending on the amount of the volunteers, it will last one or two days. During these days, we are trying to cover the important issues that might be needed. Firstly, we speak about EVS Charter, the rights and responsibilities of the involved parties (V, SO, HO). Second main point is the learning process and the certificate they get at the end (mentoring program and Youth Pass). Then we also discuss seminars they have the right to participate in and the language support (including the new on-line language platform). At the end of theoretical block, we will go through the organisational questions as insurance, travel expenses, food money, pocket money, vacations and travelling.

q In addition, we help our volunteers in their visa application if they need some specific documents or they just want us to help and assist their application. In case of emergency we are contacting the embassy and hosting organisation in order to help the volunteer to facilitate the process.

 

q What kind of emotional preparation will you provide the volunteer with? (Cultural shock, conflict resolution, expectations, contact with ex-volunteers, keeping the volunteer motivated...)

q As it was mentioned above, we organise the pre-departure training one month before the departure of a volunteer. Together with the whole team of NGO “Stella”, we work out the agenda for future volunteers, every time changing it and adapting to specific cases. We gather all out volunteers that will start their EVS approximately at the same time in our city and we spent 1 – 2 days with them depending on the quantity of volunteers.

q The pre-departure seminar takes place 1 month before the departure where we could get to know our volunteers and they could get to know us better (it might happen that people will be coming from different cities in Ukraine). This seminar will allow volunteers to discuss their expectations, motivations and concerns they might have. Intercultural support will be offered during this meeting (as well as during personal meetings) through a series of interactive non-formal workshops where we will not only discuss the concepts of “interculturality”, “culture shock”, “diversity”, “prejudices” etc. but we will also do some practical exercises. The training will be organized in a very flexible and nice atmosphere where our future volunteers will have a chance to get to know each other better, to discuss their projects, to exchange contacts, to speak English (as we will do it in English), to do interactive activities and, they will get lots of practical information regarding EVS. Volunteers will be informed about their right and obligation to participate in on-arrival, mid-term training and evaluation meeting as an integral part of the voluntary service. We will provide them with an EVS-Kit and together with a volunteer we will go through each part and discuss it. We will also invite one or two former EVS volunteers outside of our organization who could share their experience and our volunteers will have a chance to ask questions.

q We help the volunteers to get to know EVS better not only theoretically, but also in a practical way. The second, practical block is about the intercultural training, problem and conflict solving methods. During the pre-departure training we organise different activities through non-formal education, thus helping volunteers to understand better what might be waiting for them during their EVS (e.g. role-plays of different difficulties at work, at home with coordinators, other EVS volunteers and people from a different country).

q With the help of the pre-departure training, we aim to motivate volunteers to do their service as best as possible. Besides that, we are going to exchange e-mails and talk by skype during his EVS in order to make sure that everything goes well.

 

 

q Does your national agency organise pre-departure trainings?

No, as we do not have any NA.

 

q What kind of formation will you provide the volunteer with? (Languages, cultural formation about your own country and the hosting country?)

q Also we provide the volunteer with the information about EU countries and the level of social responsibility. We always invite the former EVS volunteers to share their experience. If the volunteer need language preparation we can provide them language support as our staff speaks English, French, Italian, Spanish.
